WaveSync is Tulane University’s official event management system and the source of truth for university event information. Events entered in WaveSync can be displayed on Tulane Drupal sites through an events feed created by the University Communications and Marketing web team.
This guide explains how information entered in WaveSync appears in Drupal, including department-level event feeds, events.tulane.edu and the events feed on the Tulane homepage.
How WaveSync Events Are Used in Drupal
All university events should be created and maintained in WaveSync. To allow event owners to manage event details in one place, UCM provides an events feed that imports selected information from WaveSync and displays it on Drupal sites.
The events feed is used in two main ways:
- Display events from a specific WaveSync organization on a department, office or program website
- Display eligible university events on events.tulane.edu and, in some cases, the Tulane homepage
Request an Events Feed for Your Drupal Site
Before requesting an events feed, confirm that your department, office or program has a WaveSync organization and that events are being created under it.
To request an events feed for your Drupal site:
- Create or confirm your WaveSync organization
- Create events under that organization
- Submit a UCM Support Request for assistance adding the events feed to your Drupal site.

Information Imported from WaveSync
The Drupal events feed imports only selected fields from WaveSync:
- Event title
- Date and time
- Location
- Description
- Featured image
Review your event carefully before publishing - especially the Description.
Why the Description Field Matters
The description is one of the most important fields for events displayed in Drupal. It should provide everything a visitor needs to understand the event and know what to do next.
Be sure to include:
- Who may attend
- Whether the event is public or limited to the Tulane community
- How to register, RSVP or purchase tickets (including links)
- Contact information for questions
- Accessibility accommodation information
Registration links do not automatically transfer from WaveSync into Drupal. If your event requires registration or tickets, include that information directly in the description (for example, a link or instructions such as “RSVP in WaveSync”).
Featured Images
If you add a cover photo in WaveSync, use a horizontal image that crops well. Campus Services recommends a minimum size of 1300 × 780 pixels. Images are cropped to a 1.67:1 aspect ratio.
Avoid images with embedded text or logos, as they may be cropped, difficult to read or inaccessible to screen readers.
Events on events.tulane.edu
The university events website, events.tulane.edu, imports eligible events from WaveSync. Events must be published and use an appropriate visibility setting.
Event Visibility Settings
WaveSync visibility settings affect whether an event can appear on university-wide Drupal event listings.
Events with these visibility settings will appear on events.tulane.edu:
- The Public
- Student and Staff at WaveSync (Campus Only)
Events with these settings will not appear on events.tulane.edu:
- Organization Members
- Invited Users Only
Clearly state who may attend in the description - whether the event is public or limited to the Tulane community - so visitors can quickly determine relevance.
To help your event display well, include:
- A clear, descriptive title
- Accurate date, time and location
- A complete description (including audience and any registration or RSVP details)
- A high-quality featured image, when available
Events on the Tulane Homepage
Public events may also be considered for the Tulane homepage.
To be considered, events should:
- Use the The Public visibility setting in WaveSync
- Clearly state in the description that the event is open to the public
- Include complete and accurate details
- Provide registration or RSVP information (if applicable)
- Follow university communications guidelines and the Tulane editorial style guide
- Be relevant and welcoming to a broad audience
UCM is always looking for strong public events to feature on the university homepage. Complete event descriptions and clear audience information make it easier to identify events that may be a good fit.
Past Events and Retention
Events on events.tulane.edu are deleted after 18 months. Removing events from Drupal does not affect the original record in WaveSync.
