- Number of people involved in each day’s activity
- Type of activity to be filmed
- List of equipment and vehicles to be used in connection with the project
- Sizes, weight and composition of props and machinery to be used
This information must be submitted to the Office of Public Relations for review at least 30 days before filming.
Photography and filming will be allowed in the sole discretion of the university and in any event only during times that are least likely to be disruptive to academic activity and student life.
No mention is to be made of, or recognition given to, Tulane University unless specifically authorized.
Requested filming locations must be inspected with a representative of the Office of Public Relations before and after filming.
Parties filming on campus must maintain and provide evidence of adequate insurance coverage. A certificate of insurance must be provided, naming The Administrators of the Tulane Educational Fund, its officers, directors, employees, students, representatives and agents as additional insureds.
The university reserves the right to require a deposit prior to the arrival of any production vehicles or personnel on campus. The damage deposit will be refunded in full or credited against location fees and expenses after the filming locations are inspected and found to be in satisfactory condition following completion of the shoot.
Fees and Expenses
Payment of a location fee is required to conduct commercial filming on a Tulane University campus, including set-up and wrap activity. All location fees are due on or prior to the first day of the filming activity.
Parties filming on campus must pay additional expenses, such as for Tulane Public Safety officers and Facilities Services representatives. The number of officers and/or facilities services representatives will be determined by Tulane Public Relations in consultation with the applicable campus department, based on the size and complexity of the filming activity.
Parties filming on campus must enter into the university’s form of Film Location Agreement, which will set forth the details of the shoot, insurance requirements, costs and other terms and conditions.
Use of University Trademarks, Symbols, Locations
The university’s name, trademarks, logos and other indicia may not be filmed in any form without the written permission of the university. Written permission also is required for the use of university-logo clothing, flags, pennants, etc., for use as costumes and set dressing.
Photographs supplied by the university are copyrighted materials that may not be manipulated without the express written consent of the university.
Manipulation is defined as adding to, subtracting from or otherwise adjusting a photograph in such a way as to significantly change the nature of the image. Minor editing — color correction, cropping and subtle retouching that does not change the photograph in a substantial way is permissible, though good judgment must be exercised when making such adjustments.
